Coordination Services
From budget planning to actual day coordination services including
sourcing of best-qualified wedding suppliers according to your specific
preference and budget, booking arrangements with your approved
suppliers, ceremony site and reception venue arrangements, over-all
coordination and management of all your wedding requirements.
Professional Fee: P125,000 for 200 guests and below
The Detailed Outline
PRE-WEDDING
ARRANGEMENTS: 9 to 24 months before the wedding
- Set a Wedding Date with the couple (if there’s none yet). Discuss its
timing: the season, any holiday in-between, vacations, weather, etc.
- Discuss the type of wedding you want or the level of formality as this
will affect location, time of day, number of guests, color motif, theme,
etc.
- Discuss and set a realistic budget with the couple
- Provide a file for contracts, forms, important papers, etc.
- Recommend and reserve the ceremony location. Discuss guidelines for
music, decorations, interviews, documents required, etc.
- Recommend and reserve the reception location.
- Recommend and book an Officiant for the Ceremony (if needed)
- Discuss church and legal requirements for the wedding
- Accompany couple to do site inspections and meet with vendors (as may
be required by the couple).
- Send engagement notice and photograph to local newspapers (as may be
required by the couple)
- Recommend, introduce, and book the following suppliers:
• Caterer – discuss menu and package amenities
• Photographer and Videographer – discuss package and style of photography and videography required by the couple
• Musicians/ Band / or other entertainment for the reception – discuss type of entertainment preferred by the couple, song selections, instruments, etc.
• DJ and sound system – discuss music selection preferred by the couple
• Florist – discuss floral requirements, bridal bouquet, church and reception décor and arrangements
• Emcee – discuss Program preferred by the couple
• Cake Designer – discuss preferred design and cake flavor
• Bridal Car or Limousine
• Invitations and Giveaways
- Reserve rental items
needed for the ceremony and reception (as may be needed).
- Discuss apparel for the Bride, Groom and Bridal party
- Discuss headpiece and other accessories for the Bride
- Schedule fittings for the Bride, Groom, and Bridal Party
- Confirm delivery date of Gowns and Dresses, Groom’s Apparel
- Order and confirm delivery date of Bridal Shoes and accessories
- Check final guest list of the couple
- Recommend suppliers and order wedding invitations, thank you notes,
wedding programs, giveaways, etc.
- Arrange the Rehearsal Dinner (if needed)
- Schedule Bachelor Party (optional)
- Schedule Bachelorette Party (optional)
- Arrange accommodations for out-of-town guests.
- Discuss honeymoon options and assist in Travel and Honeymoon
Arrangements
- Reservation of the Bridal Suite and hotel accommodation for the
families of the couple or the entourage
- Recommend Bridal Gift Registries (if couple will reside in the
Philippines after the wedding)
- Remind Groom about the Wedding Rings. Recommend vendors if necessary.
- Recommend and Plan activities for out-of-town guests of the couple
- Book wedding day transportation arrangements for the entourage and
guests (as may be needed)
- Assist in purchasing gifts for the Wedding Party
- Assist in addressing the invitations
- Assist in mailing the invitations
- Keep a record of RSVP’s
- Remind couple of schedule of seminars and interviews set by the
church.
- Assist couple with the legal requirements
AT LEAST 2 WEEKS BEFORE
THE WEDDING
- Assist bride in determining appropriate hair style and make-up
- Book Hair and Make-up artist for the Wedding Day
- Schedule a Trial Make-up for the Bride
- Schedule Pre-Nuptial Photo of the Couple
- Follow up with guests who did not reply to the invitation
- Finalize guest count with caterer and reception location
- Finalize layout of the reception. Special instructions for seating
especially if there are those in wheelchairs or handicapped.
- Couple to endorse the Seating Arrangements of Guests to C & C, if
there will be assigned seating.
- Gather everything needed for the Wedding Day
- Prepare an actual day itinerary for the couple and suppliers to make
sure that everything is well coordinated during the actual wedding day.
- Coordinate with everyone who will be asked to speak at the reception;
Toasts, Messages from Parents, friends, etc.
- Discuss Reception Program with the couple and the emcee.
- Work out last minute changes and arrangements
- Write out place cards
- Coordinate with all service providers and go over last minute details
for smooth flow during the actual wedding day
- Submit request lists of couple to musicians, photographer, and
videographer.
- Confirm honeymoon reservations and accommodations
- Arrange for pick-up of tickets.
- Delivery of gowns, dresses, Groom’s apparel, and accessories.
- Check weather forecast at least 2 days before the wedding for
alternate plans if necessary.
ACTUAL WEDDING DAY
- Couple to endorse all remaining checks for the service providers
including the Officiant’s Fee (if required) and Tip envelopes to C & C.
C & C to take charge in distributing the same to proper vendors and
suppliers.
- Arrange gown and accessories of the bride for pictorials.
- Assist bride with her Big Day preparations; hair and make-up,
dressing-up, pictorials, etc.
- Overseeing of physical arrangements and décor at the ceremony site
- Distribution of bouquets and flowers to the members of the entourage,
principal sponsors, etc.
- Proper coordination with lector, readers, offerors, musicians,
singers, and everyone involved at the ceremony
- Assistance in the Processional Order and Bridal March
- Assistance in the Recessional March
- Assistance in the Ceremony Proper (veil, cord, candle ceremony,
offertory, communion)
- Assistance in the Pictorial sequence after the ceremony
- Overseeing of the physical arrangements and décor at the reception
site
- Bring giveaways for guests and gifts to the bridal party at the
reception
- Ushering and seating of guests at the reception
- Overall coordination of the Reception Program, Music, traditional
ceremonies (cake cutting, wine toast, releasing of doves, bouquet and
garter toss, etc.)
- Orderly sequence of guests’ photo-op with the couple
- Management of the Buffet Table and orderly queuing of guests.
- Assistance in the distribution of giveaways and gifts for the Bridal
Party
- Record all gifts received at the Guests’ Registration Table
- Coordinate and schedule meals of suppliers during the actual day
- Coordinate with couple any additional expense incurred after the
reception.
- Endorse all gifts and accessories to the couple or to their assigned
person.
- Make sure all arrangements are carried out smoothly during the actual
wedding day.
- Arrange return of all items rented after the wedding.
POST-WEDDING
ARRANGEMENTS: 1 to 6 months after the wedding
- Secure Marriage Contract of the couple if solemnized by a licensed
officer (other than a Clergy, Priest, or a Judge).
- Endorse photos of the wedding to the couple within 2 to 5 days after
the wedding.
- Follow-up of album and video from the Official Photographer (after
couple has chosen the photos for the album).
- Endorsement of the album and video to the couple as soon as available.
